Rental Information
WHAT YOU SHOULD BRING WITH YOU
All of our units are individually owned in a condominium association and decorated to the owners taste. They are equipped to our standard inventory including beach towels, bed linens, bath towels, cookware, dishes and kitchen utensils. Please care for these items as if they were your own. You will need to provide for the following items, as they are not included in the standard inventory:
- Staples
- Condiments
- Toilet paper (upon arrival, one roll is provided in each bathroom)
- Paper towels and napkins
- Bath Soap (upon arrival, one small bar is provided in each bathroom)
- Aluminum, plastic wrap or zip lock bags
- Garbage bags (upon arrival, one is provided in garbage pail)
- Liquid and dishwasher detergent
- Laundry detergent
- Cleaning supplies
We are only one block away from a small grocery store to purchase these items or a five minute drive over the bridge to a large shopping center.
OCCUPANCY
Midnight Cove Condominium Association limits 6 people per unit and 8 people in the three-story unit.Some owners request a maximum of 4 people. This is stipulated on the unit description. If the number in your party exceeds the maximum allowable, you may be subject to eviction and/or complete forfeiture of security deposit. The maximum number allowable in the unit is also the maximum number allowable to use the Midnight Cove beach and recreational facilities.
RENTAL MINIMUM
The rental minimum at Midnight Cove is one week with the exception of March, which is a two-week minimum. Some owners request 10 day or two week minimums in their units. This will be stipulated on the unit description page. Midnight Cove requests Saturday arrival and departure days. During lower occupancy periods, we may be more flexible, please contact the office to book anything other than a Saturday - Saturday reservation.
MAKING A RESERVATION
You may book your vacation on-line or you may call one of our reservationists toll free at 1-800-469-3004. The Reservation hotline is available Monday to Friday 8 a.m. to 4:30 p.m. and 8:00 a.m. to noon on Saturday. If you call after hours, please leave a message and we will return your call the next business day. Once you have made a reservation, you are required to read all information in your confirmation package regarding your reservation and the property rules and regulations. Your rental agreement must signed and returned to Midnight Cove prior to your arrival date. Renter will not be provided with keys without a signed agreement.
PAYMENT POLICIES
Please designate one person in your party to be responsible for all payments and correspondence regarding your reservation. Once your reservation is booked, you will receive a confirmation, rental agreement and important information. Your reservation is NOT confirmed until we have received a deposit and a signed, returned rental agreement. An explanation of your charges will be included in your correspondence: 5% processing fee, 12% Florida Sales Tax and Sarasota County Tourist Tax and a $45.00 non- refundable accidental waiver fee.
A monthly stay is considered 28 days and includes a discount from the weekly rate. The week of Independence Day (July 4th) is at a premium rate of 10%.
DEPOSITS AND FINAL BALANCE
If booking on-line, please contact our office within 48 hours to make your confirming deposit. Failure to make a deposit may automatically cancel your reservation. Your initial deposit is $345.00. Sixty days prior to arrival, 50% of the total balance of your bill is due. Your remaining balance is due upon arrival or the next business day. All rates are in U.S. Dollars. MasterCard, Visa and American Express cards accepted.
ACCIDENTAL RENTAL DAMAGE INSURANCE: In lieu of paying a security deposit, Midnight Cove Realty includes Accidental Rental Damage Insurance on every reservation and is due when initial deposit is made. For an affordable NON-REFUNADABLE $45 fee, this plan covers up to $1500 in accidental damage to the rental property or its contents, if caused by a registered guest. Tenant will be responsible for promptly reporting any damage or necessary repair upon arrival or at time of occurrence. Tenant must operate all appliances, plumbing, electrical and air conditioning units with proper care. If tenant fails to do so, the plan will be void and tenant will be held responsible for damage or repair.
CANCELLATION POLICY
In order to receive a refund of an advance deposit, TENANT'S cancellation request must be made in writing 60 or more days prior to arrival. A refund will be issued minus a $75.00 cancellation fee. In the event of less than 60 days notification, MIDNIGHT COVE REALTY, INC., will attempt to rent the reserved rental period and if successful, TENANT will receive a refund minus a $75.00 cancellation fee. If entire rental period is not rented, the deposit is non-refundable. If TENANT requests a change in dates after the 60 days, the same policy applies.
TRAVEL INSURANCE IS RECOMMENDED.
TRAVEL INSURANCE
In the event the unit becomes unavailable or uninhabitable due to naturally occurring events or entities, severe weather conditions, hurricanes and mandatory evacuations, any deposits and pre-paid rent will not be refundable. It is recommended the renter purchase travel and trip cancellation insurance to cover financial losses from cancellations. Purchasing trip insurance covers you from losses you may incur due to unforeseen circumstances, such as unexpected health issues, death, inclement weather, or jury duty. Trip Insurance may be added up to 30 days prior to arrival. Trip insurance is offered at a cost of 7% of your total rental cost. We recommend that you purchase this insurance. Please refer specific questions to 1.877-254-8842 and use product code 008085 P2.
CHECK IN / CHECK OUT TIME
Check in time is 3:00 to 5:00 p.m. During high volume periods, unit may not be ready for occupancy until 5:00 p.m. When office is closed, keys may be picked up in a lock box to the right of the office entrance. The code will be provided in your package of information you receive after confirmation. Check out time is 10 a.m. Sorry, there are no exceptions. Housekeeping must gain entrance to prepare the unit for the next occupant.
